This Agreement is entered into by and between Balkan Wanders Tours LTD (collectively Balkan Wanders or “us”) on the one hand and the tour participant or “you“ or ”your” on the other. By booking a tour with us you agree to these Terms & Conditions. They contain important information so please read ahead.
To confirm your booking, we require personal information along with your final payment. This may include your full name (as per passport), date of birth, nationality, passport details, and any relevant medical conditions. Failure to provide this information or providing incorrect details may result in the cancellation of your booking. For details on how we handle your information, refer to our Privacy Policy.
All tour prices are listed in EURO per person based on double/twin room occupancy. Prices may vary due to demand, market conditions, promotoins, and availability. To secure the rate you see, we recommend booking promptly, as prices can change.
What’s Included:
– Tour Host throughout the trip.
– Transportation: Comfortable vehicle for the duration of the tour.
– Accommodations: Double/twin rooms with private facilities, primarily in four-star hotels or boutique options where noted. Single or triple rooms may be available for an extra fee.
– Meals: As outlined in the itinerary.
– Tours and Activities: Sightseeing, entrance fees, and guided tours as detailed in the itinerary.
What’s Not Included:
– International and domestic airfare unless specified.
– Visas, travel insurance, optional activities, and personal expenses (e.g., laundry, phone calls, minibar, extra meals).
– Additional hotel stays outside the itinerary unless pre-booked with Balkan Wanders.
– Gratuities for the Driver and Tour Host.
For tours booked 31 days or more before departure, a deposit of EURO200 per person is required to confirm your booking. This deposit becomes non-refundable seven (7) days after it is paid, or until 31 days before departure, whichever comes first. We reserve the right to refuse a booking without giving any reason and shall in that event return any deposit received.
Full payment is due 30 days before departure. For bookings made within 30 days, full payment is required immediately. All payments are subject to cancellation fees as outlined below. We strongly advise you to take out cancellation insurance at the time of booking.
Deposit is refundable up to seven (7) days after it is paid, or 60 days before departure, whichever comes first. Refunds are not provided for missed services, meals, or activities.
More than 45 days: Deposit retained.
45–30 days: 50% of the total price.
30–8 days: 80% of the total price.
7 days or less/no-show: 100% of the total price.
Our tours are guaranteed to depart once they have ten fully paid customers. If we cancel you tour, we are obliged to inform you a minimum of 14 days before the tour starts, unless we cancel due to Force Majeure. You can choose to transfer your payment to another departure or receive a full refund, unless the cancellation is due to a Force Majeure Event.
Cancellation due to Force Majeure
A Force Majeure Event includes events beyond our control, such as acts of God, natural disasters, war, pandemics, extreme weather, government actions or unforeseen events, making the tour unsafe or unfeasible.
If we cancel your tour due to a Force Majeure Event, we provide a refund minus unrecoverable costs. If cancellation occurs after the tour has started, refunds will cover only unused days minus unrecoverable costs. We are not liable for any incidental expenses you incur, such as visas, vaccinations, insurance excess, or non-refundable flights.
While we always strive to provide the accommodations and itineraries as planned, it is important to note that last-minute changes may occasionally occur due to unforeseen circumstances.
In the event of any unexpected changes or circumstances beyond our control, such as hotel availability issues or force majeure events, we assure you that we will make every effort to arrange alternative accommodations and activities of similar quality. Our priority is to ensure that you have a comfortable and enjoyable stay, and we will always work diligently to find suitable alternatives.
We value your trust and aim to provide transparent and efficient communication throughout your journey. We make every effort to minimize disruptions and will notify participants promptly if changes are required. However, we are not liable for incidental expenses such as visas, vaccinations, or non-refundable flights resulting from these changes due to Force Majeure.
Participants must ensure they are healthy and fit enough to fully participate. Our tours often involve active days, including walking on uneven surfaces and hills, so a reasonable level of mobility is required. Travellers must be able to manage activities independently without assistance from the Tour Host or fellow participants.
While we strive to accommodate everyone, wheelchairs and most mobility aids may not be suitable unless approved in advance. If you have any questions about mobility or health concerns, please reach out — we’re happy to help determine if the tour is right for you.
Any dietary restrictions or allergies should be conveyed to Balkan Wanders at the time of booking. While we strive to accommodate dietary needs, some tours may have limitations. You are responsible for assessing whether the food and beverages provided align with your dietary preferences or requirements.
You are responsible for obtaining and carrying all required documentation for your tour, including a valid passport (valid at least 6 months after your tour ends), visas, permits, vaccination certificates, and any other necessary documents. Missing or incorrect documentation is your responsibility, including any costs or losses incurred by you or Balkan Wanders due to non-compliance.
Your tour cost does not include individual travel insurance but we stronlgy recommend arranging one to ensure peace of mind before and during your tour. Travel insurance typically includes coverage for tour cancellations, interruptions, and lost or damaged personal belongings, though specific benefits depend on the policy.
Each guest is allowed one large bag (max. 30kg) and one carry-on small bag due to vehicle capacity. Please note that some hotels, particularly those in historic areas, may not have elevators, and guests are responsible for carrying their own luggage.
Balkan Wanders is not liable for lost, stolen, or damaged personal belongings at any time, including in hotel rooms, during transit, or when handled by staff or contractors. We strongly recommend against bringing valuables such as expensive jewelry or electronics and suggest ensuring travel insurance covers your belongings.
Guests are expected to behave respectfully during the tour to ensure a safe and enjoyable experience for everyone.
The Tour Host’s decisions are final in all matters related to the safety and well-being of travellers and staff. Failure to follow the Tour Host’s instructions or actions that disrupt the group’s mobility or well-being may result in immediate removal from the trip without a refund. Additionally, Balkan Wanders reserves the right to decline future bookings from disruptive participants.
Guests must always respect and follow the laws and customs of the destinations visited. Balkan Wanders is not responsible for any violations, intentional or unintentional, of local laws or customs and their consequences, which may include fines, imprisonment, or deportation. Travelers are fully subject to all local regulations and penalties during their trip.
By participating, you grant Balkan Wanders a non-exclusive, worldwide, royalty-free license to use any photos or videos you share with us for any purpose, in any media, now or in the future. This includes content shared via email, digital folders, or social media platforms.
You also permit Balkan Wanders to photograph or film you during the trip and use these recordings for promotional or commercial purposes without compensation. By sharing or participating, you waive any rights to review, approve, or claim compensation for the use of these materials and release Balkan Wanders from any related legal claims.
Balkan Wanders does not own or operate the services provided during your trip, such as accommodations, transportation, or guides. We are not responsible for acts or omissions by third parties, including negligence or willful misconduct.
By booking, you assume all risks associated with travel, including delays, cancellations, force majeure events (natural disasters, pandemics, government actions), and personal injuries. Balkan Wanders is not liable for any direct, indirect, or incidental damages, including loss, inconvenience, or medical issues.
We reserve the right to change itineraries, substitute services, or cancel trips due to unforeseen circumstances, with credits provided for amounts recoverable from suppliers. No refunds are offered for unused services or travel insurance costs.
This agreement is governed by the laws of Bulgaria, the country where Balkan Wanders Tours LTD is legally established. Any disputes arising from or related to these terms and conditions will be resolved exclusively under Bulgarian law.
